How to Add a New Contact in Xero
Adding a contact in Xero is quick and easy! Follow the steps below to get started.

Method 1: Add a Contact Manually
- Log into Xero:
Head to Xero and sign in. - Go to Contacts:
- Click Contacts in the top menu.
- Select All Contacts.
- Add a New Contact:
- Click the “+ Add Contact” button.
- Fill in the details:
- Name (required)
- Email, phone, and address (optional but useful)
- Tax/VAT number if applicable
- Set Financial Details (Optional):
- Add default sales and purchase settings if needed.
- Save Your Contact:
- Click “Save” to finish.
Method 2: Import Multiple Contacts via CSV
- Go to Contacts:
Click Contacts > All Contacts. - Import Your Contacts:
- Click “Import” in the top-right corner.
- Download the CSV template provided.
- Fill in the CSV Template:
- Add your contact details to the spreadsheet.
- Save the file and return to Xero.
- Upload and Confirm:
- Click “Browse” to upload your file.
- Review and confirm the import.
Method 3: Create a Contact from an Invoice or Bill
- Open an Invoice or Bill:
- Go to the Business menu.
- Select Invoices or Bills to Pay.
- Add a New Contact:
- In the To field, type the contact’s name.
- Select “Add new contact” when prompted.
- Enter Details and Save:
- Fill in any missing information.
- Click “Save” to add the contact.
Method 4: Automatically Add Contacts via Hubdoc/Apron/Dext/Autoentry or others
- Log into Data capture program:
Open it and sign in. - Upload a Document:
Upload or forward an invoice/receipt. - Publish to Xero:
When publishing to Xero, Your program will create a new contact if one doesn’t exist.
Pro Tips:
- Avoid Duplicates: Use Merge Contacts to combine duplicates.
- Set Defaults: Assign default accounts and tax rates for smooth invoicing.
- Group Your Contacts: Use Contact Groups for easier management.
